Central Self-Service Portal, a web interface that lets you manage daily tasks that would normally require a network administrator. The actions you can take depend on the access level set by your admin, and this Techvid will focus on email security. Let's dive in. In this Techvid, you'll learn the steps to create an account, navigate the portal's user interface, and perform common email tasks, including managing quarantine messages, allowing and blocking senders, and using the emergency inbox. Before starting, make sure you use a supported web browser to access the Self-Service Portal, Google Chrome, Microsoft Edge, Mozilla Firefox, and Apple Safari. Refer to the linked documentation for further information. In addition, we recommend you always run an up-to-date version of the browser. Let's get started. When your administrator adds you as a SOFO Central user, you're sent a welcome email that gives you access to the Self-Service Portal. Make sure this message comes from do-not-reply at central.sofos.com. Follow the set up my password link and follow the instructions to set up your account. Once done, navigate to the SSP at sofos.com slash SSP and sign in with your credentials or a sign-in key. We recommend you bookmark this in your internet browser for easy access in the future. Let's explore the SSP user interface. At the top, you'll see several options. These will vary depending on what's been allowed by your admin. On the right, click the bell icon to view any notifications. If you need guidance for any of the specific features or pages in the SSP, click the help icon and a pop-up window will provide a link to the related documentation. Click the user icon to view your profile, change the UI language, reset your password, and manage multi-factor authentication. Note, changing the UI language only affects the SSP. The content of your emails remains unchanged. Additionally, there's an option to toggle the UI theme between light and dark modes. Let's move on to the email management features. In email security, you have options to manage your own quarantined emails or those from distribution lists you manage, allow or block emails from senders, and view all your inbound emails in the emergency inbox in the event there's an email server outage. Let's start with managing quarantined messages. Note that the functions and options in both the quarantine and distribution list quarantine are the same, so I won't cover the distribution list section. Here, you'll see the full list of messages that have been withheld. View the sender, subject, date the message was received, and reason for quarantine. Choose the start and end date ranges if needed. Note that quarantine messages are held for up to 30 or 90 days, depending on your administration configuration. After that, they're automatically deleted. Click reason to filter the list by the quarantine reason. If you have many emails in the list, you can also use the advanced search to quickly find what you're looking for. Select one or more messages to take action on them. You can release the email to your inbox or release the message and add the sender to the allow list to prevent a false positive in the future. Alternatively, you're able to delete the message or the message and add the sender to the block list. Messages coming from senders in this list are completely blocked and won't appear in the message quarantine. Additionally, if you use M365, you can view and manage your M365 quarantine here and perform the same actions. Next, go to the allow or block page to manage your allowed and blocked senders or domains. There are three tabs at the top that let you view the list by all entries, allowed senders only, or blocked senders only. You can have a maximum of 500 entries. To manually add an entry, click add and choose the desired action. Enter an email address or domain. Note that wildcards aren't supported. If you try adding a new entry that already exists in either the allow or block lists, you'll be prompted with an override warning. If you proceed, the override is based on your most recent option. Choosing override duplicates will perform this action for you without needing to confirm. To delete entries, select the senders and click delete. If you have many entries, use the advanced search to quickly find the relevant address or domain. Lastly, I'll show you the emergency inbox. This is only visible in your SSP if it's been enabled by your administrator. This is useful in the event your email server has an outage or if you're unable to access your mail client. In here, you can view all inbound messages you've received in the last 30 or 90 days depending on your administrator configuration and download attachments to view them if desired. However, note that you can only view messages. You'll need to use other means to reply back. Use the search to find emails based on the message content and other details. For example, here I'll search for the domain status. Depending on the configuration set by your administrator, you may also have the option to re-deliver old emails to your inbox for up to 90 days.
