So I'm a big fan of documentation when done well in the right context that's communicated and built into culture well, but documentation as a default means a lot of sprawl and documentation has to be maintained. There has to be a culture behind it and, you know, when you go into an org and you sit down and start skimming their documentation to get oriented and you're like, this is all wrong. Nothing's been updated in the last eight years. It's all documented, but it's not right.

TL;DR

  • Documentation sprawl is a real risk — writing things down without a maintenance culture produces outdated, misleading content that can disorient new team members.
  • The speaker supports documentation only when it's done well, contextually appropriate, and actively communicated across the team.
  • Stale documentation — pages untouched for eight years — is not an asset; it's a liability that signals a broken process.

Summary

This short clip from NinjaOne's IT Leadership Lab challenges the reflexive advice to "just write it up." The speaker argues that documentation without a supporting culture is worse than no documentation at all — it creates sprawl, false confidence, and organizational confusion. The core problem is maintenance: docs that haven't been updated in years are still technically "documented," but they actively mislead anyone who relies on them. The speaker advocates for documentation done well — meaning it's contextually appropriate, clearly communicated, and embedded in team culture as an ongoing practice rather than a one-time checkbox. For IT teams and sysadmins, the takeaway is that the volume of documentation is far less important than its accuracy, relevance, and the cultural habits that keep it current.

FAQ

Is the speaker against documentation entirely?

No — the speaker explicitly supports documentation when it's done well, in the right context, communicated clearly, and backed by a genuine team culture. The critique is aimed at documentation as a reflexive default, not documentation as a practice.

What makes documentation harmful rather than helpful?

Documentation becomes harmful when it's created without a maintenance plan or cultural buy-in. Outdated docs that haven't been updated in years give a false sense of coverage while actively misleading anyone who relies on them.
